1. Scope

Hide and Seek Paraquest (HSPQ, we, us or our) is based in Victoria, Australia. We respect your privacy and aim to manage personal information openly and responsibly in accordance with applicable Australian privacy law.

This policy applies to our website, member and crew portals, event bookings, messages, uploaded material, enquiries and related HSPQ services. Third-party websites and services have their own privacy policies.

2. Information we collect

Depending on how you interact with us, we may collect:

• your name, email address, phone number and account details;
• booking, attendance, payment status and transaction details (but not your complete payment-card number);
• membership status, member profile, profile photograph and communication preferences;
• messages, enquiries, survey or roster responses and customer-support records;
• photos, video, audio, evidence files or other content you choose to upload;
• accessibility, dietary, emergency or health-related information you voluntarily provide where reasonably needed to deliver an event safely;
• technical information such as device, browser, IP address, security logs, notification subscription identifiers and website activity.

We usually collect information directly from you. We may also receive it from a person making a group booking, our booking or payment providers, membership services, event partners or publicly available sources where lawful and appropriate.

3. How we use information

We use personal information to provide and administer events, bookings, accounts, memberships, tickets, member benefits, crew operations and customer support; process and reconcile payments; send service messages and requested notifications; protect our systems and users; meet safety, insurance, accounting and legal obligations; and improve HSPQ services.

We send promotional messages where you have consented or where otherwise permitted by law. You can unsubscribe using the link in an email or by contacting us. Essential account, booking, safety and service messages may still be sent.

4. When information is shared

We may disclose only the information reasonably required to trusted providers that help us operate, including website hosting, authentication, database and file storage, payment processing, email, push notifications, ticketing and booking services. These may include Supabase, Stripe, Resend, OneSignal and Rezdy while those services are used by HSPQ.

We may also share necessary details with event venues, authorised HSPQ personnel, insurers, professional advisers, regulators, law-enforcement bodies or emergency services where required or permitted by law. We do not sell personal information.

Some service providers may process or store information outside Australia. Their locations and practices may change. We take reasonable steps when selecting and configuring providers, but overseas recipients may be subject to different privacy laws.

5. Storage and security

We use reasonable technical and organisational safeguards appropriate to the information we hold, including access controls and restricted staff access. No online system is completely secure, so please use a strong, unique password and never share verification or password-reset links.

We retain information only for as long as reasonably needed for the purpose collected, account and event administration, dispute handling, safety, fraud prevention and legal, tax or insurance obligations. Information that is no longer required is deleted or de-identified where practicable.

6. Your choices and rights

You may ask to access or correct personal information we hold about you. You may also request account closure, withdrawal of optional consent or deletion of information, subject to identity verification and information we must retain by law or for legitimate operational reasons.

You can update certain account details and notification settings through the member portal. Browser and device settings also control cookies, camera access and push-notification permission.

7. Cookies and notifications

Our website uses cookies and similar storage needed for sign-in, security, preferences and site operation. Blocking essential cookies may prevent account features from working.

Push notifications are optional and require permission on each compatible device. You can disable them in your device or browser settings. Camera and file access occur only when you choose to take or upload a photo, video or other file.

8. Children and young people

Some HSPQ experiences have age restrictions shown with the event. A parent or legal guardian should make bookings and provide personal information for a child where required. We do not knowingly invite children to create unrestricted accounts or provide sensitive information without appropriate involvement from a parent or guardian.

If you are not satisfied with our response, you may be able to contact the Office of the Australian Information Commissioner or another relevant regulator.
